Email Styles are templates for emails sent to your Clients by your organisation. They can be used to add your company logo to emails, adding a send/reply to email address, format the footer and specify the HTML Template determining the overall layout of the email. You can add and edit these by navigating to System > Settings > Communication Settings > Email Styles.

The Email Style panel allows you to dictate the name of the Email Style (note this is for your own records only - the email title won’t be visible on the actual email itself), the send and reply email addresses, which HTML Template the email will use and also allows you to add your company logo to that email style. Once an Email Style has been created, it can be selected in the dropdown menu for any outbound emails, whether that’s broadcasts you’re sending out yourself, or any automated email definitions.

Name: This refers to the name of the email style but it will not be displayed on the email.

Logo: You can choose to display your logo on the email.

From: This is the email address you're sending the email from.

Reply To: This is the email you'd like the email responses to go to.

Footer: This text will be added to the footer of all emails sent using this email style.

HTML Template: You can customise your emails using the HTML template.

How do I send and receive emails from my own company email address?

To achieve this you will need to verify you email domain. To do that, follow these steps:

Step 1: Verify your email address.

  • Verifying your email domain allows you to send all emails within TutorCruncher from your business email address. In order to do that, we first have to verify that you own the domain you're attempting to send emails from. We do this to stop other people from sending emails from your email address.

  • To verify your email address, click the "Send verification email" button on the Email Styles page and two emails will be sent to the email address you're trying to approve.

  • One will be from Mandrill (our mail provider), and you should immediately forward this email to verify@tutorcruncher.com so that we can approve it with our mail provider. It normally takes us 1 business day to get it approved so if it's taking much longer than that feel free to send us a nudge. Please make sure to forward the email quickly, the email expires in 24 hours and you'll have to send it again if it expires.

  • The other email will be from TutorCruncher, and it simply asks you to click a link to confirm that you own the email address.

Step 2: Add records to your DNS.

  • For this stage, you'll have to log in to your DNS provider. Your DNS provider is generally the company you bought your domain from. We recommend using this free tool to find your domain host provider. All you need to do is enter your company's domain name to verify where your nameservers are hosted.

  • Once you've logged into your DNS provider, navigate to the DNS records section. You need to add 2 CNAME records and 1 TXT record as shown below.

Note: Please make sure to replace `yourdomain.com` with your actual domain name.

You need to add the above records to your DNS.

Note: If you use Mailchimp or another email service provider, your TXT record may already be there.

Step 3: Check the domain status.

  • Once you've added the 2 CNAME records and the TXT record, you can check the status of these records to ensure they've been completed correctly by clicking the "Check DNS records now" button at the bottom of the page. If the status is verified, then your sending domain is successfully approved.

Why aren't my emails sending out of my own domain?

The first thing to check when your emails are not sending out of your own domain is if you have already set up an Email Style.

If you have created an Email Style, make sure that the Email Style applies to the Emails/Broadcasts that you want to be sent out of your own domain. You can do this by going to one of your Broadcasts / Email Definitions, and see if you have the right Email Style selected.

The last thing to check is if your domain has been approved. You can do this by navigating to your Email Styles and making sure that the CNAMEs and TXT records are verified. If your domain hasn't been approved yet, make sure that you've followed the steps above correctly.

How do I stop emails from sending from my own company domain?

To stop emails from being sent from your company email address, simply edit the Email Styles you're using so that the 'From' senders email address is 'sys@tutorcruncher.com' -this should verify straight away and stop those emails from being sent from your own domain moving forward.
