What are Reviews?
Reviews allow you to ask your client directly for feedback on the lessons they have had with one of your tutors. This feedback will be then stored in your database so that you can look over how well received the tutoring was with your clients themselves. By default, the client will be able to rate the tutor out of 5 stars and write a short summary of the tutor as well.
How do I send a review request to a client?
Go to a client's page and click on 'Request Reviews'. Then, you can specify the tutor(s) for whom you wish the client to provide feedback. You can request a client complete reviews for multiple tutors at the same time. You will also be able to include a personalised message to go be included in the email that the client receives to complete the review.
If your client has lessons which have not been reviewed, you can request them here (Request Reviews).
Can I automatically send a client a review after their first lesson?
This is possible because Tutorcruncher can send a review request automatically to a client after a certain number of lessons. In your System > Settings > People and Activity >Activity, you can find the line called 'Request Reviews automatically'. In here you should enable this checkbox. Below this, where it says 'Default Review Units', is where you adjust the number of units before an automatic review is requested.
NB: Review requests can only be automatically sent once for a tutor on a job
Why can't I request Reviews of tutors?
If you do not have the option to Request Reviews, this is because there are no completed lessons with a tutor in the past 6 months which have not yet been reviewed.
How does a client complete the Review?
The email that the client receives will contain a link to a secure URL where they can complete the review without having to log in to TutorCruncher. By default, the only mandatory field on the client review will be the star rating.
Where can I see completed Reviews?
If a review has been written, it will show in your Activity Feed. You will be able to view the review via the client's page and the tutor's page where the individual review for each tutor will show, along with the star rating and the number of lesson hours to which the review applies. If you click on the individual review you can view the full details of the review.
How do I customise the email requesting a Review of a tutor?
In your System > Settings > Communication Settings > Email Definitions, you can go into the definition called 'Request Tutor Reviews from a Client'. In here you can edit the default message that will be sent via email to the client. Note that in this email definition, the variable is a placeholder which will be filled by the custom message written when requesting the review.
How do I customise the content of the Review?
You can edit and create extra fields to appear on the reviews you send to clients by using Custom Fields, just like you do for lesson reports. Go into System > Settings > System Customization > Custom Fields > Add Custom Field, creating a new Custom Field which applies to the 'Review' option. Simply specify the type of field you want and enable the 'Client Access' checkbox. If you want, you can also set certain fields to be mandatory on the Review by ticking the checkbox marked 'Required' on the custom Field.
Create custom fields which you designate as 'Apply To Review'.
Who can see reviews?
Only administrators are able to see reviews written about tutors. Admins can also access an aggregate star rating for each tutor, based on those reviews.
