The Activity Log is a record of what has happened on your Branch and who did it. Every meaningful change is written to it as an entry, so where you need to work out when a Lesson was cancelled, who changed a Client's status, or which Administrator edited a Job, this is where to look.
The Activity Log is reached via System > Activity Log.
Note: The Activity Log requires the permission to view operational data. Administrators without it will not see System > Activity Log in their menu. You can read more about Administrator Permissions here.
Reading an entry
Each row of the log has two columns:
Action - what happened and who did it, with a second line underneath giving the detail. This says what actually changed, such as which fields were edited or which status a record moved to, rather than only naming the action.
Time - when it happened, in your own timezone.
Selecting an entry opens its full details in a pop-up, including the record it relates to.
Filtering the log
The filter bar at the top of System > Activity Log gives you, in order:
Date - the range of time to look at.
Job - everything that happened on one Job.
Lesson - everything that happened on one Lesson.
Action - one kind of action, such as a Lesson being cancelled or a Client's status changing.
Actor - the person who carried the action out.
On a narrower screen the filters that do not fit flow into a More filters menu at the end of the bar.
Note: The log opens on a default date range rather than your whole history, and a message on the page tells you when it has done this. To look further back, widen the Date filter.
Seeing the log for one record
Links from a record's own page open the Activity Log already filtered to that person or record. A log filtered this way shows everything where they were involved, whether they carried the action out themselves, had it done to them, or were the record being acted on.
Exporting the Activity Log
Select Export at the top of System > Activity Log to download the log as a CSV.
The export follows whatever filters you have applied, so narrow the list down first and the file will match what is on screen. It is built in the background and downloads once it is ready, so a long date range can take a moment.
Note: Export requires the permission to export operational data, which is separate from the permission to view the log. An Administrator can be able to read the Activity Log without being able to export it.
Frequently Asked Questions
Why can't I see the Activity Log in my menu?
You need the permission to view operational data. Ask an Administrator who can edit profiles to check yours via People > Administrators > select the Administrator > Edit Profile.
Why is the Export button greyed out?
Either your current filters have returned no entries, in which case there is nothing to export and widening the filters will enable it, or you do not have the permission to export operational data.
Why can't I see entries from further back?
The log applies a default date range when you open it, so you are seeing recent activity rather than everything. Change the Date filter to the period you want.
The entry tells me something changed but not what it was
Select the entry to open its full details. Entries now record what changed as well as that something changed, so older entries written before this may carry less detail than recent ones.
