The Client Balances panel can be found via System > Settings > Accounting Settings > Client Balances. This panel allows you to adjust all branch-wide preferences pertaining to your Client’s balances

From this panel, you can also adjust your preferences for cases where a Client has low balance - you can set the value for this threshold, and toggle for whether or not they are notified when their available balance drops below this threshold. There are also more specific settings for Client Managers - you can set a separate threshold for low balance that notifies a Client’s Client Manager once this threshold has been reached, and toggle whether or not these notifications are sent out to Client Managers in the first place.

Can I choose whether my Clients can top up their account with credit?

You can specify whether or not your Clients can top up their account with credit by selecting an option from the ‘Client top up permissions’ dropdown menu.

If ‘Can top up’ is selected, your Clients will be able to add credit to their account balance via the Top Up button on the Invoices & Credit Requests panel on their Client dashboard.

Can I choose whether my Clients can view their account balance history?

You can specify whether or not your Clients can view their account balance by selecting an option from the ‘Client Balance Visibility’ dropdown menu.

If ‘Clients can view their balance history’ is selected, your Clients will be able to access their account balance history via their Client dashboard.

How do I allow my Tutors to view my Clients’ account balances?

Simply use the ‘Tutors view Client balances’ checkbox to allow your Tutors to view Clients’ balances on Jobs and Lessons.

How do I prevent my Clients from going into arrears?

Enabling the ‘Prevent negative balances’ checkbox will prevent your Tutors from marking Lessons as ‘complete’ if doing so would cause the paying Client’s account balance to drop below zero.

How do I automatically notify my Clients when they have a low balance?

If the ‘Low Balance Notification’ checkbox is enabled, your Clients will be notified whenever their available balance drops below a certain value.

The minimum balance a Client can have before they are notified of this can be set via the ‘Low Balance threshold’ field.

How do I automatically notify my Client Managers that one of their Clients has a low balance?

If the ‘Low Balance Notification for manager’ checkbox is enabled, your Client Managers will be notified whenever one of their Client’s available balances drops below a certain value.

The minimum balance a Client can have before their Client Manager is notified of this can be set via the ‘Low Balance threshold for manager’ field.
