The Export function in TutorCruncher is the easiest way to export information about your Users, Jobs, Lessons, Reports and accounting quickly and easily. The file format exported is a CSV file suitable for use in Excel or for importing into other cloud-based platforms. We have recently updated the placement of the export functionality to enhance the user experience.

The export button for Jobs can now be found directly on the Jobs page, Lessons export on the Lessons page, and Reports export within the Reports section.

With this, we wanted to leverage the filtering functionality that already exists on the Jobs, Lessons and Reports pages. This allows Clients to gather more specific data and insights from TutorCruncher, making the system more intuitive and user-friendly.

Please note that the headings in our export CSVs will now appear slightly different.

How do I export a CSV file listing my Students’ information?

Navigate to System > Export before selecting ‘Users’. This will open the User Export page, from where you can specify the role type (Student in this case) to be exported.

How do I export a CSV file listing my Accounting information?

Navigate to System > Export before selecting Accounting. This will open the Accounting Export page, from where you can generate a CSV file to export for use in accounting packages such as Xero, Sage or Quickbooks.

Here you can specify the accounting item type you would like to export (Invoices/Credit Requests/Payment Orders) and specify a date range. Choose the Detailed Export to get a breakdown of each Lesson or Ad Hoc Charge, or choose the Basic option for a simple list of Invoice, Payment Order or Credit Request.

If you are using:

  • Xero: Use Detailed.

  • QuickBooks: Use Detailed or Basic.

  • Sage: Use Basic.

How do I export my accounting data into Xero?

Follow these steps:

  1. Export your accounting information into a CSV file - make sure to select a detailed export type.

  2. Once that CSV file has been downloaded, you will then need to log into your Xero account and navigate to Business > Invoices.

  3. You will then be redirected to a new page containing a list of all of the Invoices linked to your Xero account. To import or update the Invoices recorded on your account, select the Import tab.

  4. This will redirect you to a page breaking down the steps needed to import a CSV file into Xero. Select the ‘browse’ tab and select the CSV you downloaded from TutorCruncher.

  5. Xero will notify you of how many Invoices are being imported as well as any issues that are linked to any of those Invoices. Click Complete Import to complete the import.

  6. Your invoicing data should now be successfully linked to your Xero account.
