Saved Views

Learn how to save a set of commonly used filters.

Written by Maahi Islam

Where you use the same filters on a list repeatedly, such as the Clients one Client Manager looks after or this month's unpaid Invoices, you can save those filters under a name and come back to them in one click rather than setting them up again each time. Saved Views are available to Administrators on any list page that has a filter bar, and each view can either be kept to yourself or shared with the rest of your team.

Saving a view

  1. Go to the list you want a view on, for example People > Clients, and apply the filters you want. There is nothing to save until the list has been filtered or sorted.

  2. Select Saved views at the right hand end of the filter bar, then enter a name for the view under 'Save current view'.

  3. Tick Share with all admins if you want the rest of your team to be able to use it, then select Save view.

Saving a view filtered by a Label.

The list reloads with the view open and the Saved views button shows the view's name, so you can always see which view you are looking at. A view keeps the filters, the sort order and the tab you are on, but not the page of results you were on.

Opening a saved view

Go to the list the view was saved on, for example People > Clients, select Saved views and choose the view from the menu. The filters are reapplied, a tick appears beside the view in the menu and the button shows its name.

Applying a Saved View.

A view belongs to the list it was saved on, so one saved on People > Clients only ever appears in that list's menu. Save a separate view on each list you want one for, such as People > Tutors, People > Students, Activity > Jobs or Accounting > Raised Invoices.

A view saves the filters rather than the results, so the list is rebuilt each time you open it. Records that now match the filters appear, and ones that no longer match drop out.

Sharing a view with your team

Ticking Share with all admins as you save the view puts it in the Saved views menu of every Administrator on your Branch, on that same list. Your own views are listed first, followed by shared ones, each marked with 'Shared by' and the name of the Administrator who saved it. A view you have shared yourself is marked with a small people icon.

Only the Administrator who saved a view can delete it, so a view you share stays available to the rest of the team until you remove it.

Note: Saved Views belong to the Branch they were saved on. A shared view is not offered to Administrators on your other Branches, and your own views do not follow you when you switch Branch.

Deleting a view or changing its filters

Select Saved views on the list the view was saved on, hover over the view and select the bin icon beside it. The bin only appears next to views you saved yourself.

Deleting a Saved View.

A view cannot be edited in place. To change the filters on one, delete it, apply the new filters and save it again under the same name. Saving under a name you have already used on that list is refused with 'You already have a view called "..." on this list', so the original has to be deleted first.

Where Saved Views are not available

Saved Views appear on the list pages that have a filter bar, which covers the user lists, Jobs, the Client Pipeline, the Lessons list at Activity > Calendar > Options > View in list and the Accounting lists. They are not available in two places:

  • On the Calendar itself at Activity > Calendar. Its filter bar works as normal, but the Calendar also tracks the date and the view mode you are looking at, which a saved view would pin to whichever day it was saved on.

  • To Tutors, Clients and Students. They can still filter their own lists, however there is no Saved views menu on them.

Frequently Asked Questions

Can I change the filters on a view I have already saved?

Not directly. Delete the view from the Saved views menu, apply the filters you want, then save it again under the same name.

Why is there no option to save the current view?

Either the list has not been filtered or sorted yet, or the filters you have applied are already saved as a view. Where they are, that view is ticked in the menu and its name is shown on the Saved views button.

Can another Administrator delete a view I have shared?

No. A view you have shared appears in their menu without a bin icon, so only you can remove it. If your own Administrator profile is deleted, the views you shared stop appearing for everyone else.

Will a shared view show other Administrators records they cannot normally see?

No. Opening a view applies its filters to the list as that Administrator already sees it, so their own permissions still decide which records are returned.
