Repeating a Lesson creates a series, and the Lessons in that series stay linked to one another. You can repeat, edit, end or re-space a series from any planned Lesson in it, and each change applies to that Lesson and the ones after it. You no longer need to find the first Lesson in a series to change it.
Creating a series of repeating Lessons
Create a Job if you haven’t already, then schedule the first of the Lessons you want to repeat. You can read about scheduling Lessons here.
Go to Activity > Calendar > select the Lesson > Actions > Repeat.
In the ‘Repeat Lesson’ panel, set how the Lesson should repeat:
Repeat - Weekly or Daily.
Every - how many weeks or days to leave between Lessons.
Repeat on - the weekdays the Lesson should land on, when Repeat is set to ‘Weekly’. Leave this blank and the Lesson repeats once a week from its own date.
Stop After - repeat a set number of times, counting the Lesson you started from.
Stop On - repeat up to a date. That date is included, so a Lesson falls on it. It can be at most a year after the Lesson you are repeating.
Creating a weekly Lesson to happen on every Tuesday and Thursday for 6 weeks.
If the Lesson or its Job has a Location, click Check Conflicts to see whether that Location is free on every date. If there is no Location, click Submit.
Note: The dates are worked out on your own calendar, in your own timezone, and every new Lesson keeps the start and finish times of the Lesson you repeated.
Note: One repeat can add up to 200 Lessons. They are created in the background, which can take up to five minutes for a long series. A repeat only ever adds Lessons, so any day the series already has a Lesson on is skipped and repeating the same Lesson twice will not double-book a day.
Editing a Lesson in a series
Go to Activity > Calendar > select the Lesson > Edit. Where that Lesson has later planned Lessons in its series, an ‘Apply these changes to’ option appears, and you choose how far the change should reach:
Only this Lesson
This and all later Lessons
This and the later [weekday] Lessons - offered only when the later Lessons fall on that weekday and on at least one other, so it is not shown on a series that runs on a single day each week.
This and the later Lessons I choose - tick the Lessons you want from the list.
The title, Location, start and finish times and maximum number of Students all carry across to whichever Lessons you pick. Times move by the same amount on the clock rather than by a fixed number of hours, so a Lesson that falls the other side of a clock change keeps its local start time.
For instance, with a series of five Lessons starting at 5pm, moving the third to 6pm and choosing ‘This and all later Lessons’ moves the fourth and fifth on by an hour as well. This is done dynamically — a fourth Lesson that had been set two hours earlier at 3pm shifts forward an hour like the others, to 4pm, rather than jumping to 6pm.
Where the Lesson has a Location, Check Conflicts previews the Lessons the edit would change, shifted as the edit shifts them.
Note: Tutors only change the later Lessons they would be able to edit one at a time. Their permissions on the Job still apply to every Lesson the change reaches.
Deleting Lessons in a series
Go to Activity > Calendar > select the Lesson > Actions > Delete. Where the Lesson has later planned Lessons in its series, you are asked whether to delete Only this Lesson or This and all later Lessons. The panel tells you how many later Lessons are planned and the date of the last one.
Deleted Lessons are not removed straight away. They move to System > Trash > Deleted Lessons, where they stay for 60 days before being permanently deleted, and can be recovered from there. You can read more about recovering deleted Lessons here.
Note: Only planned Lessons are deleted. Lessons marked as ‘Complete’ are kept, as are any Lessons you are not able to delete — ones you are not on, or ones with an unresolved Safeguarding/Wellbeing Concern. The message tells you how many were kept.
Note: Only one bulk deletion runs at a time for each person, so if you already have one in progress you will be asked to wait for it to finish.
Ending a series early
To stop a series without deleting the Lesson you are on, go to Activity > Calendar > select the Lesson > Actions > End Repeating Lessons. This deletes every later planned Lesson in the series and keeps the Lesson you started from. The panel tells you how many Lessons will go and when the last of them is.
This replaces the old method of opening the first Lesson in a series and setting its repeat to ‘Never’.
Changing how often Lessons repeat
To re-space the rest of a series, go to Activity > Calendar > select the Lesson > Actions > Change How Often. The panel tells you how often the series repeats now, which weekdays it falls on and the date it currently ends. Set Repeat every to the new number of weeks.
From the Lesson you are on, later planned Lessons that no longer fit the new pattern are deleted, and the Lesson is copied into the weeks that need one, on the same weekdays. The series still ends on the day it ends now, so changing a weekly series to fortnightly thins it out rather than extending it.
Note: This only works on a series that still follows a regular weekly pattern. If a Lesson has been moved to another weekday, or one deleted more than 60 days ago has left a gap, you will be asked to edit or delete the Lessons instead. A day where a Lesson was deleted within the last 60 days is left empty rather than refilled.
Frequently Asked Questions
Where do I find the original Lesson in a series?
You no longer need to. Every change to a series is made from the Lesson you are on and applies to that Lesson and the later ones, so open the Lesson at the point in the series where you want the change to take effect. The ‘View Original Lesson’ link has been removed.
Why can’t I see ‘Change How Often’ or ‘End Repeating Lessons’?
Both only appear on a planned Lesson that has later Lessons still to happen in its series. On the last Lesson of a series, or on one that is already complete or cancelled, there is nothing later to change.
Can I repeat a Lesson that is already part of a series?
Yes. Repeating any Lesson in a series adds the new Lessons to that same series rather than starting a separate one. Days that already have a Lesson are skipped, so the series will not double up.
