TutorCruncher handles online and in-person tutoring in the same place, so a business running both does not need two systems. Online Lessons get their classroom link generated automatically, and in-person Lessons get a Location, a map and a way to charge for travel. This article covers both, and running a mix of the two.
Teaching online
TutorCruncher is integrated with several of the leading online classroom and whiteboard providers, and it has its own built-in video tool, TutorCruncher Video.
Add the ones you want via System > Settings > Integrations > Online Integrations, then put one on a Job via Activity > Jobs > select the Job > Actions > Select Online Integration. You can run more than one integration at a time and use different ones on different Jobs. If your provider is not on the list, Add Custom Integration on the same settings page lets you configure your own.
Once an integration is on a Job, TutorCruncher generates the classroom link for you and adds it to any Lesson Reminders you have set up, so nobody is emailing links around before each session. Tutors and Students open the Lesson and the classroom is there.
TutorCruncher Video itself covers screen sharing, text chat, background effects, noise reduction and the usual camera and microphone controls. Once integrated it appears as its own tab on the dashboard sidebar, and it works in current versions of Chrome, Safari, Firefox and Edge on both desktop and mobile. Calls run peer to peer with up to four participants, and switch to a cloud meeting above that.
If you teach across countries, each Branch has its own timezone, set via System > Settings > Company Details > Branch Details. Individual Clients, Students and Tutors can have their own timezone set under People > select the user > Actions > Edit Profile > Address & Contact Details, and reminders go out in the recipient’s local time.
Teaching in person
Locations record where a Lesson takes place. That can be a centre, a classroom, a school, or a Tutor’s or Client’s own address. Set them up via System > Settings > People and Activity > Locations and select Add Location.
A Job can have a default Location so every Lesson on it inherits the same place, set via Activity > Jobs > select the Job > Actions > Select Default Location. Individual Lessons can be moved elsewhere via Activity > Calendar > select the Lesson > Actions > Edit.
If you run a centre, the useful part is Conflict Aware. Tick it on a Location and TutorCruncher flags it when a second Lesson is booked into the same place at the same time. The ‘Concurrent lessons per location’ field that appears alongside it defaults to 1, so a room holds one Lesson at a time, but you can raise it for a space that genuinely takes several groups at once.
Each Location also has a Calendar Colour. Set it on the Location, then set Activity > Calendar > View > Colour By to Location, and you can see which site each Lesson is running at without opening anything.
Note: Lessons with no Location assigned appear in grey while the Calendar is coloured by Location.
Finding Tutors near a Student
For home-visit tutoring, the Map under People > Map plots where your Clients, Students and Tutors are. Enter the Student’s address, set a radius, filter to the Tutor role, and you get the Tutors in that area.
It is also a quick read on where your business is thin. Plenty of Tutors and few Students in one town is a useful prompt for where to market next.
The other route is from the Job itself. With a default Location set, the Send Notifications panel on Activity > Jobs > select the Job > Matching takes a radius in miles, so you can invite only the Tutors within range to apply.
Note: the Map plots home addresses, so treat screenshots and screen shares of it as personal data. Viewing it requires the ‘View Operations’ permission.
Charging for travel and other extras
In-person work tends to come with costs that are not Lessons. Ad Hoc Charges cover those: Tutor travel, registration fees, materials, room hire, consulting time and late fines.
They work like Lesson charges, so a charge can be split between the Tutor and any Affiliates involved in the Job, and you set the Charge Rate to the Client and the Pay Rate to the Tutor separately. Raise one via Activity > Ad Hoc Charges > Add Ad Hoc Charge, or attach it directly to a Job or Lesson from that record’s Activity tab.
Ad Hoc Charges raised from a Job can carry a negative value, which is how you handle a deduction or a goodwill credit.
